Office Manager

Career Overview

An office manager is responsible for the day-to-day operation of the office including the technology and communication systems used throughout the hospital or healthcare facility. The office manager is responsible for managing all the data and information that comes into the director or manager, screening out or prioritizing information and messages, resolving problems that are appropriate, and responding to questions and requests for information from the office.

Many office managers have a direct service responsibility and may attend meetings or work on committees as a representative of the director. This is usually the case in large hospitals or healthcare facilities where the director may be required to attend more than one meeting at the same time.

The office manager may also work with new employees and provide orientation and in-service training on technology, computer hardware or software, policies and procedures for data management, informative workshops on security and confidentiality as well as general information for the specific hospital or healthcare facility.

An experienced office manager may also be responsible for assisting with staff evaluations, annual reports, scheduling meetings, confirming information and even acting in management roles for research projects and other ongoing projects.

An office manager needs to be very organized and efficient and should have an ability to work on multiple projects or tasks at the same time. He or she may be required to screen calls or even deal with difficult clients or patients for the director so effective communication and problem solving skills are very important. Most office managers work standard weekday jobs with occasional overtime, evening or weekend requirements.

Career Requirements

Most office managers are chosen from the individuals already employed by the hospital or healthcare facility that show strong leadership and effective management and communication skills. Often entry level Bachelor or Masters level management employees are brought into the hospital or healthcare facility as office managers with the intent to promote to management positions when a vacancy is created.

Some office managers may be required to have specific training in computer usage or other information technology fields. This is usually for specialized office managers such as those working in the payroll or accounting departments.

Job Outlook

The job outlook for new employees entering into the field of office manager is slightly less positive than for other fields in the healthcare sector. This is largely due to the tendency to promote from within rather than hiring new people to fill these positions. As new hospitals or healthcare facilities open across the United States there will be a slow but steady increase in the number of office managers needed.

Career Track

As mentioned above many office managers move into mid level management positions or move into specialized jobs such as IT, accounting or financial services as more senior positions become available. Some office managers choose to continue on in a support position but move up to working in higher level management offices such as the chief financial office or working with the chief executive officer.

Compensation

Years of experience, education and length of time on the job all factor into the salary for an office manager. Most office managers with more than 3 years on the job will earn between $31,000 and $50,000. Those office managers that work in private care facilities or work for higher ranking managers will make the highest yearly salary.
